Terms of Service

These Terms govern your use of KeepStock and its related services, operated by Steadfast Digital (“we,” “us,” or “our”). By creating an account or using KeepStock, you agree to these Terms. If you use KeepStock for an organization, you represent that you have authority to accept these Terms for that organization.

1. Accounts and eligibility

You must be at least 18 years old, or the age of legal majority where you live, to create an account. Provide accurate account information, keep your sign-in credentials and recovery methods secure, and promptly tell us if you suspect unauthorized access. You are responsible for activity you authorize through your account. Do not share accounts or impersonate another person.

KeepStock uses hosted sign-in for account creation, email verification, password reset, and authentication. Additional verification or multi-factor authentication may be required for privileged access.

2. Using KeepStock

KeepStock helps organize inventory, locations, and related records. You may use the features available to your account for lawful personal or business purposes. Features may change as the service develops; descriptions of planned features do not guarantee their availability.

You are responsible for checking inventory quantities, values, identification results, and other records before relying on them. KeepStock does not inspect physical items or guarantee their ownership, condition, availability, safety, or fitness for a particular use. Maintain independent copies of records that are critical to your operations.

3. Collections and shared access

If you create or administer a shared collection, you are responsible for the people you invite, the access you grant, and your authority to upload information about others. Collection administrators may manage collection records and membership. Removing a member or closing an individual account may not remove records that belong to another person or organization.

4. Your content

You retain your rights in the information, photos, documents, and other material you submit. You grant Steadfast Digital a limited, non-exclusive license to host, store, copy, process, and display that content as needed to provide, maintain, secure, and support KeepStock, including making it available to people with whom you choose to share it.

You must have the rights and permissions needed for your content. This license does not transfer ownership of your content to us or authorize its unrelated sale or publication. Any future contribution of private collection content to a shared public catalog will require a separate, disclosed contribution process.

5. Acceptable use

  • Do not upload unlawful content, infringe others’ rights, or disclose personal information without authority.
  • Do not bypass access controls, access another user’s data without permission, or interfere with the service.
  • Do not distribute malware, spam, fraudulent material, or abusive content through KeepStock.
  • Do not use KeepStock to store payment card credentials, government identification numbers, medical records, or other highly sensitive information unrelated to inventory management.

6. Fees and optional services

Any paid plan, renewal, add-on, or transaction-based service will disclose its price, billing schedule, cancellation procedure, and applicable terms before you purchase it. These Terms alone do not authorize a charge. Mandatory consumer cancellation and refund rights remain unaffected.

Optional integrations, AI processing, and payment services may have additional terms presented when made available. You are responsible for reviewing those terms before enabling the relevant service.

7. Privacy and communications

Our Privacy Policy explains how we handle personal information. We may send account verification, security, password reset, and other service messages needed to operate your account.

8. Availability, suspension, and termination

We may maintain, update, or discontinue features, and service interruptions may occur. We may restrict or suspend access when reasonably necessary to address a breach of these Terms, protect users or the service, or comply with law. Where practicable and appropriate, we will provide notice and an opportunity to resolve the issue.

You may stop using KeepStock at any time and request account closure by contacting us. Data handling after closure is described in the Privacy Policy. Provisions concerning ownership, limitations of liability, and obligations that arose before termination continue to apply where relevant.

9. Intellectual property

Steadfast Digital and its licensors retain their rights in KeepStock’s software, branding, and other service materials. These Terms grant permission to use the service, not ownership of those materials. Third-party and open-source components remain subject to their applicable licenses.

10. Disclaimers and liability

To the extent permitted by applicable law, KeepStock is provided “as is” and "as available," without implied warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not guarantee uninterrupted service or that all information or results will be error-free.

To the extent permitted by applicable law, Steadfast Digital is not liable for indirect, incidental, special, or consequential losses, including lost profits, arising from use of the service. Nothing in these Terms excludes liability or limits rights that cannot lawfully be excluded or limited, including applicable consumer protections.

11. Changes and general terms

We may update these Terms and will update the date above. For material changes, we will provide notice through the service or an account communication before they take effect, and request renewed agreement where required. If you do not agree to revised Terms, you may stop using the service and contact us about closing your account.

These Terms and any additional terms you expressly accept govern your use of KeepStock. If a provision is unenforceable, the remaining provisions continue to apply. Nothing here overrides protections that apply under the laws of your jurisdiction.
